Even if you have the best personal assistant on Earth or years of business travel experience under your (seat)belt, there is no doubt smartphone apps have evolved from novelty to necessity. Although having GoogleMaps, rideshare and travel apps at your fingertips is common sense, specialized business apps mitigate the need to juggle between multiple platforms.
“Look for offline capability, robust security measures, and flawless calendar and booking platform integration if you are reviewing apps,” advised Muzammil Sayed, cofounder, NYC Leather Jackets. “The finest travel apps are almost imperceptible, as they work behind the scenes so well that you forget they’re there until you need them.”
For example, Navan uses AI to track itineraries, receipts and approvals within the same interface and feeds expense reports back to the user’s home company systems. This platform makes travel recommendations based on preferences, company travel policies and past booking behaviors. SAP Concur, ideal for larger businesses, features integration with software such as QuickBooks and SAP to ensure financial data flows seamlessly between systems, reducing the need for manual entry. TravelPerk is noted for its eco-friendly features, such as a carbon footprint tracker, helping users make sustainable travel decisions.
“With apps offering all-encompassing end-to-end itinerary management, users are free to explore without a fixed agenda,” said Yunna Takeuchi, cofounder/CXO, City Unscripted, of TripIt, which consolidates travel details, flights, hotels and car rentals into one easy-to-read itinerary. “It enables cultural interactions and encounters, converting a business trip into a meaningful business trip grounded in real cultural understanding.”
Expense-tracking apps such as Zoho Expense, Payhawk, Happay Expense and Expensify enable employees to capture receipts, log
expenses and submit reports quickly. Zoho helps the main user set spending limits and expense policies so employees stay within
budget. Payhawk converges expense management with corporate travel management, while Happay Expense readily integrates with corporate credit cards.
VPNs and eSIM provider apps take security and cost-effective communications a step further. With Truely eSIM, cost-conscious users can freeze unused eSIM data and carry it forward to prevent wastage of data, lower cost, improve connectivity and enjoy unlimited data. Jetpac eSIM’s dual-network connectivity ensures if one network fails, the user is seamlessly switched to another. Other perks include offline use and free airport lounge access during flight delays.
“They are less about the generation of alerts and more about the elimination of noise,” said Miguel Angel Gongora Meza, founder, Evolution Treks Peru, who favors management apps Tripgrid 2.0 and Navan. “The most effective save the traveler two or three hours of paperwork following each trip.”
